Oil and gas company (our client) is looking for JUNIOR CONTRACTS ADMINISTRATOR (Moscow).
Responsibilities:
Contract Administration: Support the administration of staffing contracts/service orders in accordance with the following responsibilities under the supervision of Contracts Administrator: Formulate contracts/service orders using standard process and procedures and interfacing with support groups (legal/finance/HR) to ensure terms and conditions are accurately reflected in the contract per contracting procedure requirements. Prepare amendments to service orders, change notifications, correspondence in accordance with staffing contracts’ provisions and administration procedures. Able to maintain contract/service order & change order/amendment documentation in the contract administration system. Ensure the relevant approvals are obtained for the various contract forms/documentation used to administer the contracts/service orders prior to communication with contractors. Required to update contracts database on a regular basis. Upon the request of Contracts Administrator support the collection of action items and documentation associated with meetings with Contractors. Provide administrative support to the Contracts Manager & Contracts Administrator including but not limited to: Filing Copying Scanning etc. Provide travel arrangement support to the Contracts Manager & Contracts Administrator, transportation and meeting-rooms booking for the meetings, as well as assists in arrangement of catering services when needed.
Reporting: Support the Contracts Administrator to prepare and proactively analyze monthly contract status reports for Project Management to allow timely corrective actions & ensure achievement of project objectives. Maintain/update the contracts deliverables register and communicate progress on contract deliverables to the Contracts Administrator. Ability to prepare written documents for transmittal to contractors
Interpersonal Skills Ability to: Maintain positive relationships with peers, project management team and contractors. Hold self-accountable for progress and results of work deliverables. Seek work direction from Contracts Administrator and ensure the communication on progress on key contractual issues is provided to the Contract Administrator & Contracts Manager.
Requirements: At least 2-year experience in the administration of service contracts. 3-5 years of previous administrative experience on project works (preferably in Oil & Gas International projects). Ability to plan and organize contracting documentation within a contracting system. Attention to detail and ability to manage large volumes of documentation is a must. English and Russian fluency.
