Position
Material & document control specialist
Function
Executes specific support tasks to the project execution organization: material management, project document filing, transportation
Follows but also suggests improvements in the area of applicable administrative procedures, computerized systems, filing in order to achieve maximum productivity, minimal involvement from other team members, and efficient information flow throughout the team
Performs the necessary control and checking activities to guarantee error free administrative processes in the project execution
Is responsible for Material Control:
• update material management database
• contact suppliers for delivery of documents and equipment/materials, and expedite in case of delays (in coordination with procurement/Project Manager)
• prepare technical manuals for end-user
• ensure copying of documents/drawings of equipment
• request quotations for transportation services from approved suppliers at the lowest cost, consistent with considerations of quality, reliability, and delivery requirements
• manage all aspects of assigned product or equipment movements to provide optimum services to customers
• maintain transportation plans
• handle transport documentation with suppliers/transporters/customers/customs.
Is responsible for Document Control :
• manage project filing as per applicable guidelines
• prepare technical manuals for end-user as per applicable guidelines
• handle transport documentation with suppliers/transporters/customers/customs
• assist project manager in supplier invoice control process
Requirements
• 1 to 3 years relevant experience
• experience on small multi-projects environment is much appreciated
• strong English language skills
